"More than Day-of Coordination": This package is for couples who have the grand vision for their wedding day in mind but need help turning their ideas into reality. The services in this package are designed to guide you through your planning journey and make your wedding the most memorable day of your new life together.

Pre-Wedding

First Meeting (1- 2 hour meeting at Bright Event Gallery with couple and event coordinator): The goal of the first meeting is to help you get organized and focused so that all the details of your wedding day can be addressed. At the end of this meeting you will have a clearer idea of the look and feel of your wedding day. What to expect at the first meeting:

  • Discuss your vision for your wedding day and assess your budget
  • Assist you in choosing vendors that are style and budget appropriate
  • We will discuss décor and location details to help you create a unique event
  • Evaluate and review all existing contracts
  • You will receive a detailed planning timeline that will help you organize your planning efforts
  • You will also be given the following paper work to be completed prior to the Mid- Meeting:
    • Day of Itinerary work sheet
    • Vendor Contact work sheet

This meeting is a great way for us to give you some peace of mind regarding planning your big day!

Mid- Meeting (Must occur at least 3 weeks prior to event. 1- 2 hour meeting at Bright Event Gallery with couple and event coordinator):

The goal of the mid-meeting is to assess your progress and wrap up any final details so that your wedding day goes as smoothly possible. What to expect at the mid-meeting:

  • Review your vendor contact table
  • Provide the coordinator with copies of all vendor contracts
  • Verify accuracy of all contracts
  • Review and adjust (if necessary) the event lay-out and timeline
  • Review the seating chart for your reception

Services Provided:

  • Phone confirmations for all wedding vendors completed three weeks before the wedding.
  • Detailed event itineraries created for the ceremony and reception. These itineraries greatly assist Victoria Canada Weddings and Events and other vendors involved with creating a smooth flow on the day of the wedding. This itinerary will be a “master copy” submitted to the couple via email allowing the couple to distribute via email, mail or in person to any additional family members or bridal party attendants.
  • Distribute event itinerary and vendor contact table to all vendors
  • One hour coordination of wedding ceremony rehearsal- this includes directing the couple, wedding party and family to familiarize them with the order for the ceremony and processional

Wedding Day

  • Up to 8 hours* of wedding day coordination
  • Assistant to the coordinator for up to 6 hours
  • Victoria Canada Weddings and Events will act as the point of contact for vendors on behalf of the bride and groom on the wedding day.

Ceremony:

  • Early arrival to ensure set up is correct
  • “Bridal Emergency Kit” items available as needed
  • Coordinator serves as a liaison between Bridal Party and vendors
  • Line up and queue the wedding party for a smooth processional

Reception:

  • Receive deliveries and check-in vendors
  • Set-up pre-assembled guest book items, alphabetized seating cards, guest favors, toasting glasses, and cake cutter.
  • Serve as a liaison between Bridal Party and vendors
  • Communication with banquet staff
  • Guide the set up of rentals, florist, band, lighting, etc.
  • Responsible for moving all gifts and envelopes at the end of the reception to a previously assigned location
  • Direct the flow and pace of the reception according to the itinerary
  • Communicate any changes in itinerary to vendors
  • Distribute gratuities or final payments to vendors on your behalf

Ultimately, you will feel like a guest at your wedding because we allow you to relax and enjoy the day!

Multiple Location Fee: One location is included in this package. Each additional location incurs a $200 per location fee.

300+ Guest Fee: if your event includes over 300 guests, a fee of $300 will be added to the package
